The Problem
Nexus was growing fast. Their team was onboarding new clients every week but the process behind it had not kept up. Every new client meant the same sequence of manual tasks: creating accounts across four platforms, sending welcome emails, setting up project folders, notifying the internal team, and logging everything into their CRM by hand. It worked when they had ten clients. At fifty it was breaking the team.
What We Built
We mapped the full onboarding sequence and identified eleven manual steps that had no reason to exist. Then we built a single automated flow inside Make that triggers the moment a new contract is signed. From there everything runs on its own. Accounts get created, emails go out personalized with client data, folders are structured and shared, the internal team gets notified in the right channel, and the CRM updates without anyone touching it.
The Result
The onboarding process went from two hours of manual work per client to four minutes of automated execution. At their current volume that adds up to over 90 hours saved every month. Their team stopped doing data entry and started doing the work they were actually hired for. Nexus has since expanded the system to cover three additional workflows. The automation has not needed human intervention once since it launched.
